- Georgia: Requirements vary by classification. Residential Basic licensees need three CE hours per year; Residential Light Commercial need six; Commercial General Contractors have no CE requirement at all. The four failure modes of informal CE tracking
Before designing a better system, it helps to name exactly where informal tracking breaks down. Most shops that have had a CE-related renewal problem can trace it to one of these four points.
1. Hours are stored in the wrong place. Course completion certificates land in personal email inboxes, get photographed and texted, or sit in a provider's portal behind an individual login. They are never consolidated in one place the business controls.
2. The record is per-course, not per-license. A spreadsheet might faithfully log every course a technician takes. But if it does not associate each entry with the specific license and state it satisfies — and track accumulated hours against the threshold for that license — you cannot answer the question "Is Maria ready to renew her North Carolina license?" without manually reconstructing it each time.
3. CE years and renewal dates are conflated. The CE year is the window in which hours must be earned. The renewal date is the deadline to submit the application. They are not always the same. North Carolina's CE year ends November 30, but many shops track CE against the license expiration date instead — meaning they may believe a technician is compliant when they are actually several weeks short of the window closing.
4. There is no proactive gap view. A healthy system tells you in April that a technician is four hours short with six months to go. An informal system tells you in October that a technician is four hours short with two weeks to go — or tells you nothing, and you discover it when the application bounces.
What a reliable CE tracking system needs

The naming convention matters more than most shops expect. A folder named "CE Certs" with 47 PDFs named "certificate.pdf," "cert2.pdf," and "HVAC_completion" is not a usable repository. A usable repository has a file for each technician, a subfolder for each license, and a consistent filename format (technician name — state — license number — course date — course hours).
3. Hours accumulated against a defined threshold and CE year
For each technician × license pair, the system must maintain a running tally: hours completed in the current CE year, set against the required minimum for that license, with the CE year end date visible.
Worked example: Suppose a shop tracks 12 licenses across four technicians in three states. Each license has its own hour requirement and its own CE year end date. - 45 days before CE year end: Flag any technician with any outstanding hours.
- 15 days before CE year end: Flag any technician not yet at 100% — escalate to a supervisor or office manager.

5. A renewal-ready documentation export
When the renewal application goes in, the board may ask for proof of CE completion. - List every technician and every license they hold. Include the issuing state, the license number, the renewal date, and the CE year end date for each. This is your master record set.
- Confirm the hour requirement and CE year for each license. Go to the issuing board's website — not a third-party summary — and pull the current requirement. Requirements change; confirm directly. - Collect all outstanding certificates. Ask every technician to forward or upload any CE certificates from the current CE year. Expect this to surface some gaps immediately.

- Set forward-looking alerts. Calendar or automate alerts at 90, 45, and 15 days before each CE year end — keyed to each state's specific window, not a generic annual date.
